PTO Board Role Descriptions

President

Objective:  Lead PTO to achieve mission as stated in the PTO Articles of Operation.

Responsibilities

  • Work with PTO board and the principal to identify goals for school year.
  • Identify and implement action items to fulfill mission and goals.
  • Establish calendar of PTO supported events in collaboration with school calendar.
  • Assist Treasurer in creation of budget for fund raising and expenditures.
  • Set agenda and lead PTO meetings.
  • Communicate with parent/teacher community via PTO newsletter, website and general meetings.
  • Lead executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.

President-Elect

Objective:  Learn the ins and outs of the PTO so you can take over as President the following year. In charge of special projects.

This position is a 2 year commitment.

Responsibilities

  • Shadow the President to learn about running the PTO
  • Co-chair the Spring Fundraiser to learn about fundraising efforts coordinated by the PTO.
  • Manage capital projects and other special projects taken on the PTO including working with the district and the principal for authorization and planning of such projects.
  • Set agenda and lead PTO meetings in the President’s absence.
  • Assist Treasurer in creation of budget for fund raising and expenditures.
  • Participate in executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.

Recording Secretary

Objective:  Maintain minutes for the executive board and general meetings.

Responsibilities

  • Record minutes from executive board and general meetings.
  • Submit minutes for group approval.
  • Maintain electronic copies of the minutes.
  • Work with the media secretaries to post minutes to the PTO website.
  • Participate in executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.

Treasurer

Objective:  Manage all incoming and outgoing funds with appropriate record keeping.

This position could be co-chaired/shared by 2 people.

Responsibilities

  • Participate in creation of current year and next year budget.
  • Make deposits for PTO functions and fundraisers.
  • Reimburse teachers and volunteers for approved expenditures.
  • Create monthly treasurer report for presentation at PTO meeting.
  • Track all expenditures, reimbursements and deposits by budget category.
  • Track spending individually for classroom enhancement and party funds.
  • Provide any necessary training to committee chairs who collect money.
  • Provide tax-related information for the CPA.
  • Participate in executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.

Media Secretary

Objective:  Oversees communications and marketing for the PTO, including but not limited to: PTO newsletters, email broadcasts, website, social media and bulletin boards.

This position is co-chaired/shared by 2 people.

Responsibilities

  • Utilize email and Facebook to announce upcoming events and fundraising opportunities.
  • Review PTO website and update as needed including managing the online calendar.
  • Prepare the PTO newsletter based on the content submitted by committee chairs and PTO board members.
  • Check the PTO email inbox and ensure the appropriate board members are notified of the incoming emails.
  • Update bulletin board displays.
  • Create the school directory and submit it for printing.
  • Participate in executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.

Event Volunteer Coordinator

Objective:  Assist volunteers, PTO board members and school staff with scheduling and running events sponsored by the PTO.

Responsibilities

  • Help find chairs for events.  If needed, work with them to make sure event runs smoothly.
  • Send out emails to volunteers thru myvolunteerpage.com to recruit for events.
  • Set up events and shifts in myvolunteerpage.com.
  • Show recognition and appreciation to event chairs and volunteers throughout the year.
  • Work with the principal and PTO to gain cooperation, support and permission for events, activities and programs.
  • Participate in executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.

Classroom Volunteer Coordinator

Objective:  Assist volunteers, PTO board members and school staff to plan parties and schedule volunteers as needed in the classroom for help with reading, math, etc.

Responsibilities

  • Find individual Volunteer Coordinators for each classroom. Those Volunteer Coordinators then find volunteers, as needed, in a partnership with the class teacher for help with reading, math, etc. They then make a sign-up schedule in MyVolunteerPage if that is the teachers preference.
  • Provide training and support throughout the year to the individual classroom coordinators and help this process run as smoothly as possible. Help to work out any kinks and answers questions that arise throughout the year regarding our volunteer management system or basic logistics of volunteering at our school.
  • Keep MyVolunteerPage.com updated and accurate along with the PTO Event Volunteer Coordinator.
  • Find individual Party Coordinators for each classroom. Those individual Party Coordinators plan and execute three parties a year for the classroom in a partnership with the class instructor.
  • Participate in executive decisions regarding fund distribution, PTO supported programs and relevant Cooper Mountain issues.  Attend monthly PTO meetings.
